Several administrations have passed and still our organization is left with the same problem of how to authenticate a member. The lack of an authentication process causes our members' trust to turn to doubt and the worst a witch-hunt. We have just celebrated our 50th Golden Anniversary and it is but with no excuse that we start to address this problem now.
What really is the problem? What is the cause of the problem? How are we going to solve it?
Let us now start answering these questions.
Q: What really is the problem?
A: The problem is the absence of a process to authenticate a member.
Q: What causes the absence of a process to authenticate a member?
A: To be able to answer this question we need to identify the elements involved on this process. The authentication process starts with the name together with other pertinent information of the member in question to be submitted to personnel who has access to our member roster. Assuming our member roster were filed properly, the personnel can either use the name, the ID number, or the chapter to locate for the specific record. In a manual system and with the present volume, the process would probably be between 2 to 3 hours to complete.
A regular number of personnel are needed to accept and maintain a good member file. I may be wrong but based on other Brother�s explanations all the personnel are volunteers. Being volunteers, the continuity and regularity of the work they have to perform is out of the question. But this is not to undermine the services they have performed and without them it would have been a lot worst. In addition, the Council has undergone a number of office transfers, which has greatly contributed to the degradation of the files. To top it all, a fire had hit Farmers Cubao where the Council that time was staying.
Q: How are we going to solve it?
A: We fix the member file, we fix the problem.
Q: But HOW?
A: With the big volume that confronts us, the more computer we can use the better chances we have that we can solve the problem. But at the moment we do not have the resources to acquire even a single personal computer. In addition, we need knowledgeable personnel to handle the job and not to mention the integrity and the status of the existing records.
With the constraints presented above, the only possible solution we can think of is to ask the help of all our Collegiate Chapters. Each chapter has to create and update their member roster. But what about chapters that no longer exists? In such cases the former members of the said chapter should have the initiative to work on it. Besides, their very own authentication depends on it. To facilitate this process, a computer program will be made available to them (named ROSTER MAKER). This program will enable easy data entry & maintenance of member records and is capable of automatically creating html files for web publishing. Once the Collegiate Chapter's roster is in the web our APOPHIL WEBSITE will be linked to it and authentication can be made on-line.
All information and updates pertaining to this project will be made available on our APOPHIL WEBSITE. The WebTeam will also study the possibility of enabling visitors to APOPHIL website to download the said program. We will also be asking help from our Brother RDDs to spread this program.
